Factory Capacity & Qualifications
4 QuestionsWhat is your annual production capacity, and can you handle large recurring orders?
Our 10,000㎡ factory employs 800+ staff across dedicated production lines for band saw machines and edge banding machines. We maintain a consistent monthly output capable of fulfilling large-volume contracts without compromising lead times.
For recurring orders -- such as annual procurement contracts from distributors or retail chains -- we offer priority scheduling and reserved production slots. Contact our business team to discuss a dedicated supply agreement tailored to your volume requirements.
What certifications does your factory hold? Are your machines CE and ISO compliant?
All products pass multi-stage quality inspection and carry ISO9001 and CE certifications, making them fully compliant for the European market and most international import regulations. We also hold 5 national patents in China covering key mechanical innovations.
Certification documents, test reports, and compliance declarations are available upon request for your import/customs team. We can also coordinate with third-party certification bodies if your market requires additional compliance documentation.
Can we conduct a factory audit or on-site visit before placing a large order?
Factory audits and on-site visits are strongly encouraged. Our facility is located at No.1, Shiji Town Development Zone, Ningjin County, Dezhou City, Shandong Province, China. We welcome procurement managers, agents, and quality inspectors at any time.
For buyers unable to travel, we offer live video factory tours via WhatsApp or Zoom, covering the production floor, QC stations, and pre-shipment inspection areas. Third-party inspection agencies (SGS, BV, etc.) are also welcome.
How many engineers does your R&D team have, and do you develop new models?
We have 60 professional engineers dedicated to R&D, mechanical design, and process improvement. Our team continuously develops new models and upgrades existing lines to meet evolving market demands -- particularly around automation, precision tolerance, and energy efficiency.
If your market requires a machine specification not currently in our catalog, our engineering team can evaluate custom development feasibility. Large-volume ODM projects with unique specifications are a core part of our business.
MOQ & Order Terms
3 QuestionsWhat is the minimum order quantity (MOQ) for standard and OEM orders?
Standard orders: MOQ is 1 unit -- suitable for trial orders, workshop buyers, and small distributors evaluating our product line.
OEM/ODM branding orders: MOQ typically starts at 5-10 units depending on the customization scope (logo only vs. full panel/color changes). For large-scale OEM programs (50+ units per model), we offer dedicated production batches and preferential pricing tiers.
Contact our business team to discuss volume-based pricing and MOQ flexibility for your specific program.
Can we mix different machine models in a single container order?
Yes. Mixed-model container orders are standard practice for our distributor and wholesale clients. You can combine band saw machines, edge banding machines, and any auxiliary equipment into a single FCL or LCL shipment.
Our logistics team will handle export packaging optimization to maximize container utilization and minimize freight cost per unit. We provide a detailed packing list and loading plan for your customs and receiving team.
Do you offer sample machines before we commit to a bulk order?
Yes. Single-unit trial orders are available at standard pricing. For serious procurement programs, we strongly recommend a trial unit to validate machine performance, voltage compatibility, and operator workflow in your local environment before placing a bulk contract.
Upon confirmation of a follow-up bulk order, sample costs may be credited against the total invoice -- subject to negotiation with our sales team.
OEM / ODM Customization
4 QuestionsWhat exactly can be customized under your OEM/ODM program?
Our OEM/ODM program covers a comprehensive range of customizations:
- Branding: Your logo on machine body, control panel, nameplate, and packaging
- Electrical: Voltage and frequency adapted for your market (110V/60Hz, 220V/50Hz, 380V/3-phase, etc.)
- Language: Control panel labels, user manuals, and safety stickers in your language
- Color & finish: Machine body color to match your brand identity
- Packaging: Custom carton printing, foam inserts, and wooden crate branding
- Functional specs: Motor power, table size, blade guides, and other mechanical parameters (ODM)
How does the OEM customization process work, step by step?
- Requirement brief: Share your brand assets (logo files, color codes), target market voltage, language requirements, and quantity.
- Design confirmation: Our team produces artwork mockups and technical drawings for your approval -- typically within 3-5 business days.
- Sample production: A pre-production sample is manufactured for final approval before batch production begins.
- Bulk production: Upon sample sign-off and deposit receipt, full batch production is scheduled.
- QC & inspection: All units undergo multi-stage testing. You may arrange third-party inspection at this stage.
- Shipment: Export packaging, documentation, and logistics arranged per agreed Incoterms.
Will you keep our OEM design confidential and not sell it to competitors?
Absolutely. We sign a formal Non-Disclosure Agreement (NDA) and exclusivity clause as part of every OEM partnership contract. Your brand design, artwork, and any proprietary specifications are treated as strictly confidential.
We do not share, replicate, or sell customized designs to any third party. Our 20+ years of OEM export experience means we understand the commercial sensitivity of branding programs -- protecting your market position is a core part of our service commitment.
Can you develop a completely new machine model based on our specifications (full ODM)?
Yes. Our 60-engineer R&D team handles full ODM development -- from concept and engineering drawings to prototype testing and certified production. We have successfully completed custom machine development projects for clients in Europe, North America, and Southeast Asia.
Full ODM projects typically require a minimum committed order volume and a development fee (refundable against production orders above a set threshold). Timeline from brief to approved prototype is typically 45-90 days depending on complexity. Contact us to discuss your project requirements.
Quality Inspection & Pre-Shipment
3 QuestionsWhat does your quality control process look like for bulk orders?
Our QC process is structured in multiple stages throughout production:
- Incoming materials: Raw materials and components inspected against spec before entering production
- In-process: Dimensional checks, weld quality, and assembly accuracy at key production stages
- Final function test: Every machine runs a full operational test before packaging
- Pre-shipment: Random sampling inspection with documented test reports available
We can share QC reports, test videos, and inspection photos for each production batch upon request.
Can we send our own inspector or use SGS/Bureau Veritas for pre-shipment inspection?
Yes -- third-party inspection is fully supported and encouraged. We work regularly with SGS, Bureau Veritas, Intertek, and other internationally recognized inspection agencies. Our factory is open to inspectors at any agreed pre-shipment date.
If you prefer to send your own quality representative, we will arrange full access to the production floor, finished goods area, and all relevant documentation. Inspection costs are typically borne by the buyer, but we absorb any re-inspection costs if defects are attributable to our production process.
What happens if defective units are found after delivery?
Any manufacturing defect identified within the warranty period will be resolved at our cost. Our standard process: you provide photo/video evidence, our technical team diagnoses the issue remotely, and we dispatch replacement parts by express air freight or arrange a full unit replacement for severe cases.
For large-order clients, we maintain a dedicated spare parts inventory to ensure fast turnaround. Our goal is to resolve any post-delivery issue within 48-72 hours of diagnosis confirmation.
Bulk Delivery & Lead Times
3 QuestionsWhat is the production lead time for a bulk order of 20-100+ units?
Lead times depend on order size, model complexity, and OEM customization scope:
- Standard models (1-10 units): 7-15 business days
- Bulk orders (20-50 units): 20-35 business days
- Large programs (50-100+ units): 35-60 business days (dedicated production line)
- OEM orders with customization: Add 7-14 days for artwork and sample approval
For time-sensitive procurement cycles, contact us early to reserve production capacity. We can also arrange split shipments for large orders.
What shipping methods and Incoterms do you support for international orders?
We support all major Incoterms including EXW, FOB, CFR, CIF, and DDP. Most large-order clients prefer FOB Qingdao or Tianjin port, which we handle directly. For buyers requiring door-to-door delivery, DDP arrangements can be made through our freight partners.
Shipping options include sea freight (FCL/LCL), air freight for urgent spare parts, and rail freight for certain European destinations. We provide complete export documentation: commercial invoice, packing list, bill of lading, certificate of origin, and CE/ISO certificates.
How do you handle shipping damage or transit loss for large container orders?
All machines are packed in heavy-duty export wooden crates with foam cushioning and steel strapping, designed to withstand ocean freight conditions. We photograph every unit before loading and provide loading supervision reports.
For CIF and DDP orders, we arrange comprehensive cargo insurance. In the event of transit damage, we assist with the insurance claim process and expedite replacement part or unit dispatch. We recommend buyers also arrange their own cargo insurance for high-value FCL shipments.
Payment Terms & Finance
3 QuestionsWhat payment methods do you accept for international orders?
We accept the following payment methods:
- T/T (Telegraphic Transfer): Standard for most orders -- 30% deposit, 70% balance before shipment
- L/C (Letter of Credit): Accepted for large orders from established buyers; at-sight L/C preferred
- Western Union / MoneyGram: Available for small orders and sample payments
- Trade Assurance (Alibaba): Available for buyers preferring platform-protected transactions
Can we negotiate milestone payment terms for very large orders (100+ units)?
Yes. For large-volume procurement programs, we are open to milestone-based payment structures -- for example, 30% upon order confirmation, 40% at mid-production inspection, and 30% prior to shipment. This structure is common for our long-term distributor and procurement group partners.
Specific terms are negotiated on a case-by-case basis and formalized in the sales contract. Our finance team is experienced in structuring payment plans that balance cash flow requirements on both sides.
What currency do you invoice in, and can we pay in EUR or GBP?
We primarily invoice in USD, which is standard for international machinery trade. EUR and GBP payments can be accommodated for European buyers -- exchange rate is locked at the time of proforma invoice issuance to protect both parties from currency fluctuation.
For recurring annual contracts, we can also discuss USD-equivalent pricing with quarterly rate adjustments to simplify your accounting process.
Cross-Border After-Sales & Warranty
3 QuestionsWhat is your warranty period, and what does it cover?
Our standard warranty is 12 months from the date of shipment, covering manufacturing defects in materials and workmanship. Key electrical components (motors, control boards) carry a separate 12-month component warranty.
Warranty coverage includes: free replacement parts dispatched by air freight, remote technical diagnosis, and video-guided repair assistance. Consumable items (blades, glue sticks, belts) are not covered under warranty but can be ordered at cost price.
Extended warranty programs (up to 24 months) are available for long-term procurement partners -- contact us to discuss inclusion in your supply agreement.
How do you provide technical support to buyers in different time zones?
Our after-sales team includes multilingual staff covering English (Myra, Phyllis) and Spanish (Peter), enabling direct communication with buyers across Europe, the Americas, Southeast Asia, and Africa.
Support channels include WhatsApp, email, and video call (Zoom/WeChat). For time-critical production line issues, we prioritize same-day response. All machines ship with comprehensive multilingual operation manuals, and we maintain a library of video tutorials for common maintenance tasks.
Can we purchase a spare parts kit alongside our machine order?
Yes -- we strongly recommend this for buyers in regions with limited local sourcing. We offer pre-packaged spare parts kits tailored to each machine model, covering the most commonly replaced components (bearings, belts, blades, glue units, sensors).
Spare parts can be shipped with the main order (saving freight costs) or dispatched separately by express courier at any time. For large fleets, we can maintain a consignment stock of your key parts at our warehouse for priority dispatch.
Agency & Long-Term Partnership
2 QuestionsDo you offer exclusive regional distributor or agent agreements?
Yes. We actively seek qualified regional distributors and agents in markets where we do not yet have established representation. Exclusive territory agreements are available for buyers who commit to annual minimum purchase volumes.
Benefits for exclusive agents include: preferential pricing tiers, co-branded marketing materials, priority production scheduling, dedicated account manager, and joint market development support. If you represent a strong regional network, we welcome a strategic partnership discussion.
What does a long-term supply agreement with Ruiqi look like?
Long-term supply agreements typically cover: annual purchase commitments, locked pricing or price escalation caps, reserved production capacity, dedicated spare parts inventory, extended warranty terms, and priority access to new model releases.
We currently supply machinery under multi-year contracts to distributors in Europe, Latin America, and Southeast Asia.
